Adding Applicants with the Resume Import Tool
Need to quickly get resumes into the system without typing everything in by hand? The Resume Import Tool is your new best friend. This handy feature allows you to upload applicant resumes directly into your job listings and have them parsed into clean profiles—no copy-paste required.
Note: This feature is available to users with the proper permissions as defined in your Company's Roles & Permission page. If you don’t see it, check with your administrator.
Supported File Types
We play nice with a variety of common file types. Here’s what you can upload:
Microsoft Office:
.doc
,.docx
,.xls
,.xlsx
,.ppt
,.pptx
OpenOffice:
.odt
,.ods
,.odp
Apple iWork formats
Rich Text Format:
.rtf
Portable Document Format:
.pdf
Just make sure your files aren’t scanned images—those need OCR (optical character recognition) software to be readable. Many scanners already include this feature.
Note: The file you are uploading must have some basic information or it will fail. At a bare minumum, the resume must include a name and valid email.
Step-by-Step: Using the Resume Import Tool
Access the Resume Import Tool
Head to your Dashboard.
Find the job you want to add applicants to.
Click the dropdown arrow next to the job title and select Resume Import.
Set Your Dedupe Preferences
On the Resume Import page, choose your deduplication settings on the right side. This helps prevent duplicate applicant records.
Define the Source
We highly recommend you put some data here, so you don't ever have to wonder where you got this applicant. As an example, you can put a source like, "College Job Fair" or "Import from May 2025." Whatever is appropriate!
Upload Resumes
Drag and drop resume files into the upload box, or
Click Choose Files to browse and select them manually.
As long as the information is present in the file, parsed applicant fields will include:
Name
Email
Phone
Address (Street, City, State, ZIP, Country)
Note: Some resumes might not parse correctly if they use unusual formatting like headers in columns or funky fonts. You can still upload them, but they may require manual edits.
Look for the “Complete” message in the upload box.
A list of successfully uploaded files will appear at the bottom of the page
If a file fails to upload, a notification will appear on your Dashboard.

Add Applicants via Email
1. Email Resumes Directly
Use the email address listed on the Resume Import page to send applicant resumes straight to the system.
2. Add Source Info via Subject Line
To automatically tag the applicant’s source, use one of these in the email subject line:
Source: [enter source name]
, or@s=[enter source name]
3. Create Custom Source Email Addresses
On the Resume Import page, use the Custom Address tool to generate unique email addresses for different sources.
Type in the source name you want, and voilà—an email address you can share with external recruiters or job boards.
